How platforms stay healthy over time

Many platforms encounter their greatest challenges at the end of the lifecycle, not the beginning.

Lifecycle and reliability cover:

  • Solution intake and ongoing health reviews
  • Monitoring, observability, and incident management
  • Decommissioning and retirement

When reliability is built into operations from day one, the platform remains healthy as it scales.


Power Platform Implementation

Power Platform provides strong native monitoring capabilities, but they require deliberate configuration and a defined operational process to be useful.

Solution Intake

  • Establish a formal intake process for new solutions entering production — a lightweight form (built in Power Apps) that captures business owner, technical owner, data classification, external integrations, and estimated user count
  • Gate production environment access on intake completion; the CoE Starter Kit includes a Developer Compliance Centre that makers can use to self-document their solutions
  • Use the Solution Checker as part of intake to catch quality and security issues before they reach production

Monitoring and Observability

  • Power Platform Admin Center — Analytics — Provides environment-level usage analytics: active users, API call volumes, connector usage, and capacity consumption. Baseline these metrics at go-live and review them monthly.
  • Application Insights integration — Power Apps canvas apps and Power Automate cloud flows can be configured to emit telemetry to Azure Application Insights. This enables custom dashboards, error rate tracking, latency monitoring, and proactive alerting — significantly beyond what the Admin Center provides natively.
  • CoE Starter Kit — Monitoring components — The CoE includes pre-built Power BI reports and flows that surface inactive apps, unused flows, and environments without owners. Schedule regular reviews against these reports.
  • Power Automate flow run history — All cloud flow runs are logged with success/failure status, trigger time, and duration. For critical flows, implement custom error handling that routes failures to a monitoring queue or sends alerts via Teams / email.
  • Dataverse auditing — Enable Dataverse audit logging for production environments to capture record-level create, update, and delete events. Critical for regulated workloads and incident investigation.

Incident Management

  • Define what constitutes a P1/P2/P3 incident for Power Platform (e.g., production app unavailable vs. single flow failing vs. performance degradation)
  • Establish a documented response runbook: who is alerted, how to escalate to Microsoft Support, what interim mitigations are available
  • Conduct post-incident reviews and feed learnings back into the governance model — the most durable improvements come from specific incidents, not abstract risk assessments

Decommissioning

  • The CoE Starter Kit includes an Inactivity process: flows that automatically detect unused apps and flows, notify owners, and (after a defined period without response) archive or delete them
  • Apply a similar process to environments: quarterly review of sandbox environments, automated notification to environment admins, defined sunset process for environments with no active solutions
  • Retain exported solution packages for a defined period before deletion for potential recovery

Getting Started

  1. Deploy CoE Starter Kit core components to surface inactive and orphaned resources
  2. Enable Application Insights on all production canvas apps and critical flows
  3. Define your incident severity levels and document a basic response runbook
  4. Enable Dataverse auditing in all production environments
  5. Establish a formal solution intake process before any new app goes to production
